Privacy Policy

LotBench is a CRM for pavement contractors. This policy explains what we collect, how we use it, and the choices you have — in plain English. If anything is unclear, email us at support@lotbench.com.
What we collect
Account information. When you sign up we collect your name, email address, and password. Passwords are stored only as secure hashes — we never store or see your actual password.
Company profile. Your company name, business address, phone number, and logo, used on the quotes, invoices, and emails you send to your customers.
Business records you create. Clients, job-site addresses, quotes, invoices, scheduled visits, payments records, and job photos you add while running your business (more on this under “Your customers’ data” below).
Waitlist emails. If you join our pre-launch waitlist, we collect your email address and use it only to announce the launch and related updates. Every waitlist email includes an unsubscribe link, and opting out is honored immediately.
How we use your information
We use the information above to:
- Provide the service — quoting, scheduling, invoicing, and payments.
- Send the emails you trigger (quotes, invoices, receipts) and, on paid plans, the automated reminders you turn on.
- Look up map coordinates for job-site addresses and fetch weather forecasts for scheduled visits.
- Respond to support requests and notify you about important changes to the service.
- Monitor errors and keep the service secure and reliable.
We do not sell your personal information, and we do not use your business data for advertising.
Your customers' data
As a contractor using LotBench, you store information about your own customers: names, email addresses, phone numbers, job-site addresses, quotes, invoices, payment records, and job photos. LotBench processes this data on your behalf and under your instructions — you control it, and we use it only to provide the service to you.
If you are a customer of a contractor who uses LotBench and you want your information corrected or deleted, the fastest path is to contact the contractor directly — it is their customer record. You can also send privacy requests to support@lotbench.com and we will help route them.
Quote approvals. When someone approves a quote through its secure link, we record the approver’s name, IP address, and browser user-agent. This serves as the acceptance record for the contractor — the digital equivalent of a signature on the estimate.
Payments
Online payments are processed by Stripe through Stripe Connect. Card numbers and bank account numbers go directly to Stripe and are never stored on — or even pass through — LotBench servers. We store only payment amounts, status, and limited metadata about the most recent payment (for example, the card brand and last four digits Stripe reports) so invoices show what was paid. Stripe’s privacy policy applies to the payment data it processes.
Email and open tracking
Emails from LotBench — quotes, invoices, receipts, and reminders — are sent through Resend on the sending contractor’s behalf. We store delivery status for each email, including bounces and spam complaints, so contractors can see whether their messages arrived.
Open tracking. Automated emails include a small tracking pixel that records the time the email is first opened. Contractors use this to see whether a quote or reminder was read. Blocking remote images in your email client prevents this tracking.
Unsubscribing. Automated reminder emails (quote follow-ups, overdue invoice reminders, review requests) include an unsubscribe link. When you opt out, we store your email address together with the sending company so the opt-out is honored — transactional email you request, like a receipt for a payment you made, is unaffected.
Third-party services
LotBench runs on a small set of service providers. Each receives only the data needed for its job:
- Vercel — Application hosting and content delivery.
- Supabase — Database hosting (PostgreSQL on AWS, us-east-1).
- Stripe — Payment processing and payout accounts (Stripe Connect). Card and bank details go directly to Stripe and never touch LotBench servers.
- Resend — Email delivery for quotes, invoices, receipts, and reminders sent from your company.
- Vercel Blob — File storage for company logos and job photos.
- Sentry — Error monitoring. If something breaks, Sentry may receive technical context about the error so we can fix it.
- US Census Bureau Geocoder — Converts job-site addresses to map coordinates. Addresses you geocode are sent to this service.
- Photon (OpenStreetMap) — Address autocomplete. Text you type into address fields is sent to this service to suggest matches.
- US National Weather Service — Weather forecasts for scheduled visits. Job-site coordinates are sent to this service to fetch the forecast.
Address lookups and weather forecasts mean job-site addresses and coordinates are sent to the US Census Bureau, Photon (OpenStreetMap), and the National Weather Service, respectively. These lookups include only the address or coordinates — never names or contact details.
Data location and security
LotBench is hosted on US infrastructure; the database runs on Supabase in AWS’s us-east-1 region. All traffic to and from LotBench is encrypted in transit with TLS. Access to production data is limited to what is needed to operate and support the service, and every account’s data is isolated by company — one contractor can never see another’s records.
Retention and your rights
We keep your data for as long as your account is active. You can request an export of your data, or deletion of your account and its data, by emailing support@lotbench.com.
LotBench is a US product built for US contractors. If you are a California resident (or live in a state with a similar privacy law), you have the right to know what personal information we hold about you, to request a copy of it, to request its deletion, and to not be discriminated against for exercising those rights. LotBench does not sell personal information — yours or your customers’ — so there is nothing to opt out of on that front. To exercise any of these rights, email support@lotbench.com and we will respond within the timelines the law requires.
Children
LotBench is a business tool and is not directed at children. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us personal information, contact us and we will delete it.
Changes to this policy
If we make material changes to this policy, we will update the date at the top of this page and notify account holders by email before the changes take effect. Minor clarifications may be posted without notice.
